Joining Woodcraft Folk

I want to volunteer with Woodcraft Folk – what do I need to to do?

Currently volunteers in England & Wales need to apply for membership – this costs from £12 a year. Depending on the role you are volunteering for, you may also need to provide references and apply for a DBS. Apply to become a member to start the process. We’ll keep you updated by email.

Volunteers in Scotland need to complete our scottish sign up form. There is an option to make a donation if you wish. All volunteers in Scotland are required to apply for a PVG application.

I’m a volunteer – how do I renew my membership?

To continue your Woodcraft Folk membership, please go to our payment portal and make your annual contribution. Membership costs from £12 a year.

If you need to update us with changes to your personal information, membership or contact details, please use our change of information form.

I want to support Woodcraft Folk – Do I need to become a member?

No! If you’d like to support Woodcraft Folk’s work by making a financial contribution, but don’t plan to volunteer, you don’t need to apply for membership or complete volunteer screening checks. By completing our direct debit form you can become a Friend of the Folk and support our work with a monthly or yearly donation.

Do DFs need to become members?

Yes – DFs need join Woodcraft Folk as individuals so they can participate in activities locally and nationally. DFs aged 16 & 17 do not need to complete DBS or PVG checks unless they are volunteering regularly, or taking a role at a camp or residential that involves them being responsible for others. DFs aged under 18 can pay just £12 per year for membership.

DFs becoming individual members of Woodcraft Folk for the first time should apply to become a member via our website.

Some districts pay for the first year of membership for Venturers when they turn 16 and become DFs. To arrange this, Membership Secretaries should email membership@woodcraft.org.uk with the names of the new members so an invoice can be issued for the correct amount.

How do I pay for my membership?

Whether you’re joining for the first time or need to renew your membership, you can pay securely via our Payment Portal. If you’re able to sign up for a monthly or annual direct debit, this saves Woodcraft Folk time and money. Alternatively, you can make a one-off payment for the full rate or the concessionary rate membership (these links take you to Stripe, who handle payments on our behalf).

How do I update Woodcraft Folk with my new contact details or changes to membership?

To update us on changes to your contact information or membership details, you can complete our Change of information form. The details are then sent immediately to the Membership to make those amendments.

How do I cancel my Woodcraft Folk membership?

You can cancel your Woodcraft Folk membership by either completing our online Change of information form or alternatively you can email the membership team at membership@woodcraft.org.uk.

Can I request a refund of my membership fees or donation?

If you’ve made a donation to Woodcraft Folk (including membership) we assume that you meant to do this, but if it was a mistake then we’ll happily return your donation if you contact us within 30 days. Please contact us on membership@woodcraft.org.uk or 020 7703 4173 (option1) and our friendly membership team will be happy to help.


If you made your donation (including membership) online or over the phone then you legally have a 7 day ‘cooling off’ period to change your mind. Again, contact us at the email address above.

Volunteer Screening Checks

How do I apply for a DBS check?

Many roles that involve working directly with our young members require additional background checks. In England & Wales these are done through the Disclosure & Barring Service (DBS). Once you have joined Woodcraft Folk, your local Membership Secretary or Group Co-ordinator will be able to advise you if you need a Basic or Enhanced DBS check for your role. Woodcraft Folk uses First Advantage- KnowYourPeople to complete DBS checks online – to apply, complete the online form using the ‘organisation PIN’ and the ‘secret word’ given to you by your local Membership Secretary or Group Co-ordinator.

Where can I find my organisation PIN to apply for a DBS?

You can look up the PIN for your district, or ask your Membership Secretary or Group Co-ordinator for advice.

What’s the code word?

It wouldn’t be much of a secret if we put it here, would it? Ask your Membership Secretary or Group Co-ordinator – you’ll need this to start applying for your DBS through First Advantage. Alternatively email membership@woodcraft.org.uk.

How do I join the DBS Update Service?

Joining the DBS Update Service saves time and money by enabling Woodcraft Folk (and any other organisation you volunteer with) to update your disclosure when it expires. When you apply for your DBS through Woodcraft Folk, email membership@woodcraft.org.uk to tell us that you wish to be enrolled for the update service. If you already have a DBS (recently issued), you can apply to join the scheme online. See our Update Service guidance for more information.

I’ve got a DBS through another organisation – can you accept this?

If you’ve joined the DBS Update Service we can use information from your existing certificate to access your records, which saves Woodcraft Folk time and money. You’ll need to show your existing certificate to your local Membership Secretary to start this process – see our Update Service guidance for more information.

How do I apply to join the PVG scheme?

Background checks for volunteers in Scotland are carried out as part of the Protecting Vulnerable Groups (PVG) scheme, rather than through the DBS as in England and Wales. Online applications can now be submitted for PVG checks – your local Membership Secretary needs request a new PVG application using the PVG request form. More information is available directly from Volunteer Scotland or on our PVG guidance page.

How do I share my PVG results with Head Office?

On completion of your application you’ll be emailed your results, follow the instructions.

  1. Log on or create a Scot Account to view your results 
  2. You will be given option to share your online results with Woodcraft Folk 
  3. If were unable to access your results we may ask you to request a paper copy 

Those who do not share their results will be referred to their local Membership Secretary and Group Safeguarding lead, which could lead to you not being allowed to volunteer until such time that the above step is completed.

I have a previous criminal conviction – can I still volunteer?

Quite possibly – only certain offences will be a barrier to volunteering with young people. Other convictions may affect the kind of volunteering you will be able to do. In some cases we will need to ask you for more information so that we can do a risk assessment before you start to work with us.

Do I need a DBS or PVG check to volunteer?

England & Wales

Not necessarily – though volunteers working with children and young people must have these checks in place if they are volunteering regularly, or overnight (e.g. at a camp or residential). More details are available in our Member Screening Procedures, or by speaking to your Group Co-ordinator.

Scotland

All volunteers in Scotland carry out a regulated role (childcare, helping to support activities, personal care, overnight stays etc) are required to have PVG membership. It is now an offence for a volunteer in Scotland to be working with children with out PVG membership in place.

How can I provide references to support my application to volunteer?

We ask for two references from potential volunteers – at least one of these has to be someone outside Woodcraft Folk. You need to send your referees a link to our online reference form for them to complete.

How can I get help using Groop?

Woodcraft Folk uses an online platform called Groop to manage our network of volunteers. Advice for Woodcraft Folk groups can be found on our Groop Guidance page.

If you encounter a error or bug when using Groop, you can resolve this most effectively by contacting Groop directly, either by using the chat icon on the bottom right of your screen, or by filling in the support request on their website.

Roles and Admin access

How do I know what role I have within the system?

There are four types of roles on Groop. Your role on Groop will depend on your participation at Woodcraft Folk and the level of access you need within the system platform

  1. Groop Admin – Officeholder roles are given admin permissions so they can access all areas on a groups dashboard.
  2. Volunteer – All volunteers are given this role and it gives them access to non-confidential areas on a groups dashboard.
  3. Parent – This role is given to parent/carers, so they can use Groop on behalf of their child/young person.
  4. Child/young person – Child record, holding confidential information. Young people are able to edit their own record.

Individuals can have more than one role on Groop.

I have a District Officeholder role – is this an Admin role?

Yes, District officeholder roles have admin rights. You’ll full access privileges within the ‘people’ section. For more details, see the Groop Guidance page. If you do not have Groop admin access and should, please email membership@Woodcraft.org.uk.

To support Group & District contacts with admin they can appoint additional admins to support them with registration, setting up events and communications etc. Instructions on this can be found in the guidance.

Child Registration & Guardians

Can we send data requests Guardians to complete?

Yes, Guardians are able to respond to data requests for their dependants, e.g. for information that would previously have been collected on a child registration form. Guidance on how this works is available on the Groop website

At what age can we put children in without a guardian? Do we want to do that?

Young people at the age of 13 can be added to the system using their own email address. They’ll have access to change and update their personal data. However we recommend young members have a guardian on the system up until the age of 18 so their parents/carer can give consent for them to attend events, make online payments and amend contact info if necessary.

Can you have more than one guardian per child?

Yes, you can have more than one guardian per child.

People Section

In the people section, can I change the default number of records shown to more than 10?

You can increase the number of records on display in your people section, but this will revert to 10 when you navigate away from the page.

How can I view a volunteers screening and membership information?

Only officeholders with Groop Admin access will be able to view volunteer records in the people section. All volunteer records are visible in the Districts People section. You can search for an individual either by going through the table line by line. Or you can filter your table and search by the individuals name.

When you’ve found the volunteers name in your table, click on their name and select either ‘Edit’ or ‘View’ from the drop down. A new window will open and you can scroll to see the Membership & Sceening information.

When will new volunteer members by added to my people section?

We endeavour to upload all new volunteers to your district people section within 5 days of them applying for Woodcraft Folk membership.

Can I pull off a volunteer membership report?

Yes, you can create a report in your people section and export.

  1. Select the filter button at the top of your table and filter by ‘volunteer’.
  2. All of your volunteers will be listed in your table you can then decide which columns to add to your table.
  3. Select the columns button at the top of the table and select the fields, you wish to view i.e. membership expiry, DBS end date, update service and direct debit start date
  4. Once you’re happy with your table, you can select the export button in the top left hand corner of your table
  5. You’ll need to expand your rows if you have more than 10 volunteers or export page by page.

Other Functionality

How does it work when a parent has children in different groups, or the child moves group?

The process:

  • If a parent has more than one child in Woodcraft Folk and they’re in different groups, the parent will need to be invited to join each group using the same email address.
  • The children should have a record in the groups they’re part of without an email address.
  • The parent should be a guardian for each child.
  • The parent will have a record in each group and can switch between children via the ‘my dependents’ section when booking events on their behalf.

An email address can not be used twice within the same group, however it can be used within the entire system more than once. You can be a member of more than one group, using only one login.

If I create a district event, how do I invite group members?

Create the event within the Districts dashboard, selecting event from the blue toolbar
Once you’ve created the event, go to the invite section.
Select the button which reads ‘Groops (1 selected)’
A window will open with a list of your local groups, select the groups which you wish to invite and click ‘done’.
A list of all the members in those selected groups will appear. Press the radio button beside each name to include them in your event invite.

I’m on GroopChat and have just sent messages to each of our sub-groops – why can’t I see the messages I’ve sent?

Messages sent within the current group (District level for example) will be displayed in the My GroopChat section. However if you’re posting messages to different subgroups you will not see this message as this will be displayed in the ‘My Groop Chat’ area of their groups as a bulletin for their members to view. The message is view only.

What should we when a child moves from one group to another? 

If a child is moving from one group to another, the new group will need to send them an invitation request to join their group. This may include sending an invitation to their guardian as well. Unfortunately their personal information will need to be inputted again as Groop is not yet set up for groups to share data. The new group will also need to send the child/ parent a new group registration form to fill in (send data request). 

Can I send out an email from a Woodcraft email to all parents, rather than share my email that’s address with everyone? 

The email that is being sent will always be sent from your email that is against your account/record in the People database, you can change the reply to email so that any responses go to a generic woodcraft email by changing the ‘reply to’ email address.

N.B. senders do not receive copies of their emails but can view all emails sent in the communication section.

Can you use Groop offline? 

No, Groop is an online platform. We recommend if leaders need to access information they should produce registers, reports etc. which should be disposed of securely when no longer needed.

There is a mobile app available for Android and Apple phones, but this is aimed at end users rather than admin roles – it can only be used to read communications, book events and pay online as a participant, rather than to manage your group.

Online payments and Stripe

Do we have guidance on the details we need to set up the stripe account?

Yes, this is on pages 11 and 12 of the guidance for group and district co-ordinators found on the Groop Guidance page.

I notice that Stripe charges a small transaction fee – who pays that?

For any transaction processed through Stripe, a fee of 1.4% + 20p is deducted from what Woodcraft Folk receives to cover the cost of processing – so for a payment of £10, we will receive £9.66. Groups can decide if they wish to increase the costs of activities, events etc. to recoup this small cost.

How does invoicing work if we are using a donation model to take advantage of Gift Aid?

You can create donation requests through online payments on Groop. Similar to how you can create an invoice you’ll be able to generate a donation request giving the payer the option to make a voluntary donation to the group. At the checkout the payer will be able to tick the gift aid declaration before proceeding the payment.

Offline payments can be taken i.e. cash, cheque, bank transfer, however you will have to manually pay off the donation request on Groop and ensure a declaration has been collected and recorded on Groop in the individuals membership record in the people section.

Once funds have been received Head Office will be able to pull off a report of all completed transaction and make a Gift aid claim to the HRMC. Please advise our finance department if you are collecting donations via Groop.

If you wish to volunteer with Woodcraft Folk on a regular basis, a DBS check (or PVG in Scotland) forms part of the ways in which we ensure all of our members are safeguarded from harm. However, we understand that for transgender people undertaking such a check can be a cause of stress or anxiety. If you wish to volunteer with one of our groups, districts, events or centres without disclosing previous legal names or the gender you were assigned at birth, your check might be able to be processed through the Sensitive Application Process and the information below gives you details on how to go about this. If you have any questions at any point, please contact our Membership team at membership@woodcraft.org.uk who can help you to navigate the process.

Processing DBS applications for Transgender applicants

The Disclosure and Barring Service sensitively and confidentially process DBS applications for transgender applicants. They’ve provided a step by step procedure that we can follow to ensure an applicant’s correct gender and name is displayed on their certificate.

1. The applicant must go on to the online DBS system and complete their application as usual.

2. On their application they MUST select the gender they identify with and answer ‘No’ to the question have you been known by any other names (if they wish not to disclose this information).

3. Once they’ve completed their application they’ll need to contact the Membership team (membership@woodcraft.org.uk or call 020 8126 9339 ) immediately, OR the DBS Sensitive Department (see page 3) providing the following information:

  • A request for their application to be taken through the sensitive process
  • A scanned copy of their change of name deed/certificate (if applicable)
  • Contact telephone number and email
  • Home address

Please note the above information must be provided to Folk Office before the application is verified otherwise the DBS will be unable to match the application to the request.

4. The membership secretary can then go on to the First Advantage site and verify the application once they’ve witnessed the relevant ID.

If the identity documents show different genders, please attempt to use only the ID that displays the gender they identify with. If the ID shows only the incorrect gender which they do not wish to disclose to their local membership secretary they must contact the Membership and Groups Officer immediately before starting the application process.

5. The application and documents provided will be sent to the Disclosure & Barring Service Sensitive team requesting that the application be processed in line with the gender recognition act 2004.

If an applicant is happy to have their previous identity disclosed on their certificate, they don’t need to follow the above procedure and can simply submit their information under the ‘any other names’ section of their application.

Options for Non-Binary applicants

Presently the Disclosure & Barring Service does not offer any accommodations for non-binary people, or those who wish not to disclose a gender status at all.

At the moment the Sensitive Applications process is only provided for transgender applicants who have changed their gender within the gender binary (e.g. from male to female, or female to male), and do not wish nor have to provide details of the gender they were assigned at birth. This service is provided in line with the protections afforded by the Gender Recognition Act (2004). Though they do still have to disclose this information to the DBS through the Sensitive Applications process in order for all necessary checks to be completed and to receive a valid certificate.

Woodcraft Folk recognise that there is a lack of legal recognition for non-binary individuals, and stress that within our organisation we seek to validate the gender identities of everyone who participates through maintaining accurate internal records and respecting which pronouns individuals use for themselves. As such any non-binary individuals who have concerns about the DBS process are welcome to contact our membership team by email. We will endeavour to find a way to complete a DBS check in a way which minimises the number of people to whom you will need to disclose the gender you were assigned at birth.

We have been made aware that there are no immediate plans to change DBS processes. However, the Disclosure & Barring Service have stated that they will always amend their services in line with any changes to legislation. Therefore current consultations around the legal recognition of non-binary identities may result in changes to these systems in the near future.

How to contact the sensitive applications team

The sensitive application team is experienced in dealing with sensitive cases and will happily advise you on the process and what you need to do. To contact the sensitive applications team directly, please telephone 0151 676 1452 or email sensitive@dbs.gov.uk. Please note, that the telephone number also has an out-of-hours answering machine where you can leave your details, and a member of the team will call you back. Please note, an applicant using the confidential checking service, will still complete the same application form as any other applicant.

FAQS for Membership Secretaries & Applicants

Do you need to have changed your gender through a gender recognition certificate to be entitled to use the sensitive application process?

A gender recognition certificate is not required to go through the sensitive process.

What do you do if you don’t want to disclose that you are trans to the verifier/membership secretary and don’t have enough ID of the right gender?

Members can complete the application as per the instructions and can contact the DBS Sensitive Department directly. Unfortunately the ID has to be witnessed in hard copy and verified so we’d recommend to use ID that reflects their current gender so no disclosures need to be made to the membership secretary.

The membership secretary will not know if the sensitive process has been used if the applicant has contacted the DBS directly and has used only ID that reflects their current gender.

If the applicant has only ID with a range of names and genders that would mean they would have to make a disclosure to their local verifier/membership secretary this information would be treated confidentially in line with our data protection policy.

What do you do if you are a current member (possibly subscribed to the update service) and have changed your name/gender in the three years since the check was done/updated?

If a member has changed their name/gender in the last 3 years they’ll have to do a new DBS application at point of renewal. The Disclosure & Barring service will check the criminal record against both the new and previous names.

Is it necessary to have a piece of ID that shows gender within those verified (Birth Certificate/Gender Recognition Certificate/Adoption Certificate/Passport) or is there a selection of non-gendered ID that one could show and still complete a check (Driving License, Bills, etc)?

ID checking has to be down in line with the guidance set up by the Disclosure & Barring Service. A minimum of one ID document showing gender will need to be seen.

Current UK Driving licence (old style paper version), Current Non-UK Photo Driving licence, Birth Certificate (UK) issued after the time of birth, Marriage/Civil Partnership Certificate, Adoption Certificate.

What should you do if you are in the process of transitioning and currently have ID documents in a range of names and genders?

The identity documents must match current information on the application. If possible should try to use only the ID that displays their current gender.

What group should my child join?

Our core age groups are Elfins (age 6 to 9), Pioneers (age 10 to 12), and Venturers (age 13 to 15). Younger children can join a Woodchip group, and from 16 young members can participate in District Fellowship activities. Find out about all our age groups here.

How many groups are there?

We currently have about 300 groups meeting around the country. Find your local group using our group finder.

What do groups get up to?

Groups normally meet weekly, and will offer a mix of craft, games, discussion, music, drama, bushcraft and social action activities. Visit our Activities catalogue for examples of our group activities. Additionally, most will organise regular camps and residential trips, which may involve activities such as hiking, orienteering or watersports.

Do I need to be involved in running the group?

While many of the volunteers who run our groups are parents/carers of children that attend, many are not. It’s not compulsory that you help out, but we can only run our groups with the support of volunteers. If you’ve got the time to help, there’ll be a role for you. See our Volunteering page for more information, whether you’d like to help with activity sessions or support the group behind the scenes.

What does it cost?

Groups typically make a small charge to cover the cost of premises, equipment and other expenses. Usually this is around £2 to £3 per week, or the equivalent paid monthly or termly. We don’t want cost to be a barrier to young people accessing our activities. Therefore some groups invite voluntary donations on a ‘pay what you can’ basis instead. Contact your local group for more information.

Is there a uniform?

We don’t require members to wear a uniform. However, many young people and adults choose to wear Woodcraft Folk’s branded t-shirts, shirts or hoodies for activities and trips. We print these shirt on demand, using soft organic cotton and renewable energy – available from our online shop.

Can you cater for my child’s additional needs?

We want to make Woodcraft Folk accessible for all young people who would like to be involved. Our volunteers have lots of experience of supporting young members with a range of additional needs – it’s best to discuss your child’s needs with the leaders in your local group.

How does Woodcraft Folk keep young people safe?

Woodcraft Folk’s Safeguarding Policy sets out how we safeguard our young members, in line with our legal responsibilities and our commitment to children’s rights. We screen and train our volunteers and risk assess activities and trips. Every group has a local safeguarding lead to act as a point of contact for concerns or queries.

The safeguarding area of the website hosts Woodcraft Folk’s Safeguarding Policy, as well as a range of procedures and guidance to support volunteers in safeguarding young people in all aspects of our work. How many volunteers do we need to run the group?

There should always be two adult volunteers present who are members of Woodcraft Folk, and have been appropriately screened, before any Woodcraft Folk activity for young people takes place. In addition, there should be at least:

  • 1 volunteer to every 3 Woodchips
  • 1 volunteer to every 5 Elfins
  • 1 volunteer to every 8 Pioneers
  • 1 volunteer to every 10 Venturers

Complying with these ratios is the minimum that’s needed for appropriate adult supervision — the actual numbers of volunteers you require may be significantly higher depending on the needs of the young people in your group, the nature of the activity, and the level of experience of the volunteers.

How does Woodcraft Folk screen volunteers working with children?

Volunteers and staff regularly working with young people at Woodcraft Folk will be required to undergo screening before volunteering. This will include a criminal records check through the DBS or PVG scheme, and taking up references to ensure their suitability to work in a position of responsibility. A previous conviction is not necessarily a barrier to volunteering — any convictions or other information highlighted by a record check will be risk assessed. For more about this process, please see the Recruitment of Ex-Offenders Policy.

Who should I go to with a concern?

Any queries or concerns should be shared with the Local Safeguarding Lead for your group or distirct, whether these relate to:

  • the wellbeing of a child or young person
  • behaviour or suitability of an adult volunteer
  • arrangements for safeguarding in the group

If you’re not sure who your Local Safeguarding Lead is, ask the Group Co-ordinator or another volunteer, or email safeguarding@woodcraft.org.uk for advice.

What do I do if a child approaches me with a concern?

If a child or young person discloses abuse to you, it is important that you:

  • Listen and accept what they tell you
  • Make notes of your conversation
  • Provide as much reassurance to the child as you can
  • Make it clear to the child what you have to do next and who you have to talk to.
  • Do not ask or allow the child to repeat anything to other staff.
  • Write up your notes as soon as possible, without throwing away any original notes — the Incidents & Disclosures page contains a template form which can be used to ensure you capture all the relevant information
  • Contact your Local Safeguarding Lead as soon as possible

Where can I get advice outside of Woodcraft Folk?

If you have concerns that you’d like to discuss or need impartial advice from safeguarding professionals, Woodcraft Folk recommends the NSPCC’s helpline service. Support can be obtained online or by calling 0808 800 5000.

What should I do in an emergency?

In a situation where you are concerned for the immediate safety of a child or young person, you should contact the local Social Care out-of-hours or duty team, or call 999 for the police — these agencies will act in an emergency to protect a child at risk.

Can DFs lead a group? 

Yes, DFs can lead activities for younger members at group nights or take on roles at camp, providing they have joined as full members and completed relevant screening checks. There should always be two members over the age of 18 years present and engaged in the activity — this is a condition of Woodcraft Folk’s insurance and will mean that younger DFs cannot lead a camp or activity without the support of older adult volunteers.

What do I do if a concern is raised at a camp?

Every camp or residential should have a named Safeguarding Lead who should be the point of contact for any safeguarding concerns.

How do I access training?

Training opportunities for volunteers in Woodcraft Folk include:

  • Regular webinars
  • Training session plans that you can work through with a group of other volunteers
  • Leader training weekends facilitated by experienced staff and volunteers
  • Online training modules
  • Archived webinar sessions you can watch at your leisure
